Privacy Policy

This Privacy Policy describes how LandGrantIQ (“LandGrantIQ,” “we,” “us,” or “our”) collects, uses, discloses, and protects personal information. It covers two audiences:
- Website visitors — anyone who visits landgrantiq.com (the “Site”) or contacts us through it; and
- Platform users — authorized users of customer organizations using the LandGrantIQ platform and related services (the “Service”), including attorneys, staff, land agents, and landowners using the client portal, as well as individuals whose information is contained in records processed through the Service.
Where a section applies to only one audience, it says so.
1. Our Role: Controller and Processor
- Site data (we act as a controller/business). We are responsible for the limited information the Site collects, described in Section 2.1.
- Customer Data (we act as a processor/service provider). The Service is provided to organizations (each, a “Customer”) — typically law firms and their affiliated entities. Matter files, parcel records, documents, valuations, offers, communications, and client information submitted to the Service are controlled by the Customer. We process this data solely on the Customer’s instructions, under our Data Processing Addendum. If your information appears in Customer Data — for example, you are a landowner in a matter handled by a firm using the Service — the firm is responsible for that data, and requests about it should be directed to the firm; we will assist the firm in responding.
- Account, usage, and support data (we act as a controller/business). We are responsible for the account, authentication, usage, log, and support data described in Section 2.2.
2. Information We Collect
2.1 From website visitors
- Contact information you provide. If you submit the contact form, email an address published on the Site, request a demonstration, or otherwise contact us, we receive your name, email address, organization, and the contents of your message.
- Log and device data collected automatically. Standard server logs record IP address, browser type and version, operating system, referring pages, pages requested, and timestamps.
- Preferences stored in your browser. The Site stores settings such as your theme choice in local storage on your device. These values stay in your browser and are not transmitted to us.
- Aggregate first-party measurement events. To understand which pages are read and which links are used, we record events on our own servers: the page path, the label of the link or button used, and the referring site. These events set no cookie, create no visitor identifier, store nothing on your device, and are never shared with an advertising or analytics provider. They cannot be used to identify you or to follow you to another website.
We do not collect sensitive personal information through the Site.
2.2 From platform users
- Account information — name, work email address, role/persona, organization, and access permissions, typically provisioned by your organization’s administrator.
- Authentication data — hashed credentials, session identifiers, and, where enabled, multi-factor authentication data.
- Matter and parcel data — case records, parcel details and geospatial data, documents, appraisals and offers, negotiations, and communications entered into the Service by or on behalf of your organization (Customer Data).
- Usage and log data — IP address, browser and device type, pages and features accessed, timestamps, and security and audit events (including access-control and conflict-screening events the Service records to maintain an audit trail).
- Support and communications data — the contents of messages you send to our support channels and related contact details.
We collect this information directly from you, from your organization’s administrators, automatically as you use the Service, and — in the case of parcel and property records — from public records and licensed data sources.
3. How We Use Information
We use personal information to:
- respond to inquiries, schedule demonstrations, and communicate about our products and services (legitimate interests in responding to inquiries you initiate; consent where required);
- secure, operate, debug, and improve the Site, including through the aggregate measurement events described above (legitimate interests);
- provide, operate, maintain, and support the Service (performance of contract);
- authenticate users and enforce role-based access controls, ethical walls, and conflict screens (performance of contract; legitimate interests in security);
- maintain audit trails, detect, investigate, and prevent security incidents, fraud, and misuse (legitimate interests; legal obligation);
- respond to support requests and communicate about the Service (performance of contract);
- analyze usage in aggregated or de-identified form to improve reliability, performance, and features (legitimate interests); and
- comply with applicable law, legal process, and enforceable governmental requests (legal obligation).
AI features. Certain features of the Service generate analytical estimates, settlement predictions, and draft documents using machine-learning models. We do not use Customer Data to train generalized models for other customers without the Customer’s express written agreement.
We do not sell personal information, and we do not share personal information for cross-context behavioral advertising.
4. How We Disclose Information
We disclose personal information only:
- Within your organization, according to the access rules, roles, and permissions your organization configures;
- To service providers and subprocessors that host and operate the Site, our infrastructure, and support functions, under written contracts imposing confidentiality and data-protection obligations consistent with this Policy and our Data Processing Addendum;
- For legal reasons, where disclosure is required by law, subpoena, or court order, or is reasonably necessary to protect the rights, safety, or property of LandGrantIQ, our customers, or others — where legally permitted, we will notify the affected Customer before disclosing Customer Data in response to legal process; and
- In a corporate transaction, such as a merger, acquisition, financing, or sale of assets, subject to obligations at least as protective as this Policy.
5. Cookies and Similar Technologies
The Site and the Service use only strictly necessary and functional cookies and browser storage — for session authentication, security, and user preferences. We do not use third-party advertising, targeting, or analytics cookies. For details, including an inventory of what we set and how to manage it, see our Cookie Policy. Because we do not track visitors across other websites, neither the Site nor the Service responds differently to “Do Not Track” signals, and no advertising opt-out is needed.
6. Data Retention
We retain correspondence for as long as needed to handle your inquiry and maintain our business records, and Site server logs for a limited period consistent with security practice, after which they are deleted or anonymized. We retain Customer Data for the duration of, and as directed under, the Customer’s agreement with LandGrantIQ, after which it is deleted or returned in accordance with that agreement and our Data Processing Addendum. Account data is retained while your account is active and for a reasonable period thereafter. Audit and security logs are retained in accordance with our security policy and applicable legal, regulatory, and professional-records requirements, and only as long as necessary for the purposes described in this Policy.
7. Security
We maintain administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit and at rest, role-based access controls, network segregation, logging and monitoring, and personnel confidentiality obligations. No system is completely secure; if we become aware of a breach affecting your personal information, we will notify affected parties as required by applicable law and our contractual commitments.
8. International Data Transfers
The Site and the Service are hosted in the United States. If you visit from another jurisdiction, your information will be transferred to and processed in the United States. If we transfer personal information subject to the GDPR, UK GDPR, or similar laws from other jurisdictions, we implement appropriate safeguards, such as the European Commission’s Standard Contractual Clauses and the UK Addendum, as described in our Data Processing Addendum.
9. Your Rights and Choices
Depending on your jurisdiction, you may have the right to: (a) access the personal information we hold about you and receive a copy in a portable format; (b) correct inaccurate information; (c) delete information; (d) restrict or object to certain processing; (e) withdraw consent where processing is based on consent; and (f) appeal a refusal of a rights request. You will not be discriminated against for exercising these rights.
To exercise rights regarding Site inquiries, account, usage, or support data, contact privacy@landgrantiq.com. We may need to verify your identity before acting on a request. For information contained in Customer Data, we will refer your request to the responsible organization and assist it in responding, as required by our contracts and applicable law. Residents of California, Colorado, Connecticut, Virginia, Utah, and other U.S. states with comprehensive privacy laws, and individuals in the EEA, UK, and Switzerland, may have additional rights under those laws; we honor applicable rights in each case. Depending on your jurisdiction, you may also have the right to lodge a complaint with a supervisory or data-protection authority.
10. Children
The Site and the Service are professional tools and are not directed to children under 18. We do not knowingly collect personal information from children. Records within Customer Data may reference minors (for example, in ownership or estate records); the responsible Customer controls that data.
11. Changes to This Policy
We may update this Policy periodically. Material changes will be posted on this page, and the “Last updated” date above reflects the most recent revision. If a change materially affects platform users, we will provide notice through the Service or by other reasonable means before it takes effect.
